Access the Voicemail on the Avaya phones by:

From Inside From Outside
1. Press the Voicemail button on your phone or dial *17 1. Call 651-2660
2. Enter extension and # 2. Enter extension and #
3. Enter password and # 3. Enter password and #

To set up your mailbox for the first time:

  1. Enter NEW password and #
  2. Re-enter NEW password and #
  3. Press 1 and speak your name.
  4. Press 1 when you are finished.
  5. Approve by pressing #

To record messages:

  1. Press 1.
  2. After the tone, record your message.
  3. Press # to approve.
  4. Enter extension(s) and # (repeat for multiple people) or use *5 to use lists.
  5. Finish addressing press #.

To get messages:

  1. Press 2.
  2. Header plays.
  3. To listen, press 0.
    • To start listening at the beginning, press 0.
    • To respond or forward, press 1.
    • To reply to sender, press 1 (if sent from mailbox).
    • To forward with comment, press 2.
    • To skip to next header, press #.
    • To listen to the header, press 2 3.
    • To skip to the next category, press *#.
    • To replay the last few seconds, press 5.
    • To advance a few seconds, press 6.
    • To advance to the end of the message, press *6.
  4. To delete, press *3.
  5. To skip, press #.

To setup a personal greeting:

  1. Press 3.
  2. To listen to a greeting, press 0.
  3. To create, change or delete a greeting, press 1.
    1. Enter greeting number (use 1).
    2. Record at the tone. (2 1 to re-record if you make a mistake.)
    3. Press # to approve.
    4. To use this for all calls, press 1.
  4. To scan all your greetings, press 2.
  5. To activate a greeting, press 3.

Visual Voice allows you to access your voicemail mailbox using the display menu of your phone rather than following spoken mailbox prompts. To use Visual Voice, press the Messages> button and select from the controls below.

Visual Voice Controls

  • Listen: Access your own voicemail mailbox. When pressed the screen shows the number of New, Old and Saved messages. Select one of those options to access the messages in that category and then use the options below:
    • Play: Play the message.
      • To select the next message or previous message, use the up and down cursor keys.
      • To fast forward or rewind the current playing message by 5 seconds, use the left and right cursor keys.
    • Pause: Pause the message playback.
    • Delete: Delete the message.
    • Save: Mark the message as a saved message.
    • Call: Call the message sender if a caller ID is available.
    • Copy: Copy the message to another mailbox. When pressed as number of additional options are displayed.
  • Message: Record and send a voicemail message to another mailbox or mailboxes.
  • Greeting: Change the main greeting used for callers to your mailbox. If no greeting has been recorded, then the default system mailbox greeting is used.
  • Email: This option is only shown if you have been configured with an e-mail address for voicemail e-mail usage in the system configuration. This control allows you to see and change the current voicemail e-mail mode being used for new messages received by your voicemail mailbox. Use Change to change the selected mode. Press Done when the required mode is displayed. Possible modes are:
    • Email Mode Off: Voicemail email is not used.
    • Email Mode Copy: Copy new voicemail messages to the email address, leaving the original message in the mailbox.
    • Email Mode Fwd: Forward new voicemail messages to the email address, deleting the original message from the mailbox.
    • Email Mode Alert: Send an alert email message to the email address, leaving the message in the mailbox.
  • Passcode: Change the voicemail mailbox password. To do this requires entry of the existing password.
  • Voicemail: Switch voicemail coverage on/off

For help, press *4 at any time while logged into voicemail.

How can I record a greeting that plays in my own voice instead of the standard default one?

You need to record and activate a Personal Greeting.

How do I forward messages to others?

Follow the steps below:

  1. While (or after) listening to a message, press 1 to forward.
  2. Record your comments. This will be played to the recipient before the messages you're forwarding.
  3. Press # to approve your recording.
  4. Enter the extension number of the recipient and then hit #. To send to more than one person, repeat this step.
  5. Press # when finished addressing.

How do I get messages from my voicemail from any phone on the system?

Follow the steps below:

  1. Login by pressing the MESSAGES button.
  2. Enter your extension and #.
  3. Enter your password and #.
  4. Press 2 to get messages.
  5. Press 0 to listen.

How do I get messages remotely?

Follow the steps below:

  1. Call 651-2660
  2. Enter your extension and #.
  3. Enter your password and #.

How do I change my voicemail password?

Follow the steps below:

  1. Login to your voicemail.
  2. Press 5.
  3. Press 4 to change your password.

How do I re-record my name?

Follow the steps below:

  1. Login to your voicemail.
  2. Press 5.
  3. Press 5 to re-record your name.
